Director of Operations
Job Title: Director of Operations
Reports To: The Board of Directors
Type: Full-time – 40 hours per week
Location: Indianapolis, Indiana
Required Hours of Availability:
- Wednesdays: WEEKLY 9 a.m. – 5 p.m. Every other week, 9 a.m. to 8 p.m. — Weekly Community Dinner
- Thursdays: 9 a.m. to 2 p.m. — Food coordination for Saturday
- Saturdays: 8 a.m. to 2 p.m. — Weekly food distribution
Flexible with other days of the week based on the needs of the organization to complete the 40-hour work week.
Job Description:
Director of Operations plays a vital role in supporting the efficient functioning of a nonprofit organization. This role involves working closely with the volunteers (adults, teens, and families), and the Board of Directors to ensure smooth administrative operations, effective communication, and project management.
The Directors responsibilities include, but are not limited the following:
Responsibilities:
- Administrative Support: Provide comprehensive administrative directions, including managing schedules, coordinating meetings, and handling correspondence.
- Staffing: Staff and schedule a team of volunteers for food distribution.
- Data Management: Maintain, enter, and organize data, reports, and documents related to operations, volunteers, clients, programs, and fundraising information, ensuring accuracy and accessibility. To include reports such as Midwest Food Bank annual audit, and Adopt-A-Family spreadsheets.
- Program Coordination: Assist in planning and executing programs, including research, fundraising, and progress tracking. This includes coordinating the holiday “Adopt-A-Family” program, as well as other holiday programs, backpack program, community dinners including sponsors for each week/month, potential homework assistance program, and food pantry distribution program.
- Facility Management: Keep records of maintenance on the building. Coordinate repairs and maintenance the ensure building runs efficiently.
- Team Management: Lead a team of volunteers, efficiently run meetings, coach volunteers.
- Communication: Act as a liaison between the Board of Directors and clients, conveying important information and ensuring timely communication flow. Communication with clients such as creating flyers for distribution to announce upcoming special events.
- Social Media: Create posts for social media, helping share important information with clients, the community, and stakeholders.
- Scheduling: Coordinate and schedule staff meetings, operational reviews, and other events as necessary.
- Problem Solving: Collaborate with the volunteers to identify operational challenges and develop solutions to enhance efficiency.
Qualifications:
- Bachelor’s degree or equivalent work experience.
- Bilingual in Spanish and English preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in office software, including Microsoft Office Suite.
- Ability to become excellent in the following software programs: Filemaker Pro, eTapestry, QuickBooks Online, WordPress
- Understanding of nonprofit operations is a plus.
